College/Department Information

The Medical College of Georgia (MCG) is one of the nation's largest medical schools by class size, with 304 students per class. The MCG educational experience is anchored by the main campus in Augusta, with regional clinical campuses for third- and fourth-year students across the state, and two four-year campuses located in Athens (in partnership with the University of Georgia) and in Savannah (in partnership with Georgia Southern University). MCG's expanding partnerships with physicians and hospitals across Georgia currently provide more than 350 sites where students can experience the full spectrum of medicine, from complex care hospitals to small-town solo practices. MCG and its teaching hospitals also provide postgraduate education to approximately 575 residents and fellows in 50 different Accreditation Council for Graduate Medical Education-approved programs. Our researchers and clinicians focus on what most impacts the health of Georgia's and America's children and adults, including cardiovascular biology and disease, cancer, neurosciences and behavioral sciences, public and preventive health, regenerative and reparative medicine, personalized medicine and genomics. Our physician faculty also share their expertise with physicians and patients at about 100 clinics and hospitals statewide.

Job Summary

The Business Manager provides strategic and operational leadership for Departments of Neurology and Neurosurgery's financial, administrative, and human resource functions. This role oversees budgeting, forecasting, compliance, and departmental operations to support clinical, research, and educational missions. The Business Manager partners with departmental leadership and institutional stakeholders to ensure efficient use of resources, adherence to policies and regulations, and long-term financial sustainability.

Responsibilities

The responsibilities include, but are not limited to:

Financial Management
Responsible for an in-depth understanding of USG fund accounting processes, chart of accounts, CFCs, and Peoplesoft, preparation of financial reports regarding departmental operations, assisting with the preparation of annual department budgets, monitoring and maintaining department accounts, addressing/resolving issues from payroll, requisitions, etc., maintaining healthy funding balances to avoid deficits and budget check errors, understanding and preparing quarterly analysis of available funding.

Overall Operations
Responsible for out-processing departing department faculty and staff, assisting with contract needs, diligent tracking in all areas to ensure the team is aware of status updates for all work being done, ensuring all loops are closed and nothing is missed or delayed, managing building/facility/moving needs in conjunction with staff and the Business Operations Specialist, develop an understanding of the various aspects of the educational programs within the departments and providing support where needed, develop and in-depth understanding of departmental structure, the faculty (who they are what they do), the sections, etc. Stay on top of special events for the departments to include the Christmas party, baby/wedding showers, retirement parties and special farewells. When necessary, initiate and enforce new protocols, processes, or policies.

Conference Coordinator
Work with the committee to coordinate and execute the annual CME stroke conference. Manage and negotiate venue and A/V contracts, create and distribute collateral, recruit and liaison with exhibitors, understand and manage CME, maintain financial documents to track expenses and income, communicate with registrant attendees as needed, prepare all event items (badges, folders, etc.), execute and deliver a well-attended and financially healthy event.

Business Operations
Responsible for the understanding of AU and MCG processes and practices to include, but not limited to; extra duty compensation approval and processing, submitting and verifying all necessary epar transactions for salary distributions, tracking faculty effort, managing salary changes, calculating and accurately reporting RVUs, managing supplemental pay to include fair-market-value process and all approvals, initiating budget amendments, completing cost transfers, assisting with check requests, timely approval of requisitions after ensuring available funding, serving as a departmental signatory, processing retired/rehire paperwork and salary epars, managing end of fiscal year calendar and setting internal deadlines for both departments, ensuring funding is available for travel and other needs before providing approvals, training/reminding departmental stakeholders about the dos and don'ts of spending and what's allowed/not allowed.

Staff Management
Manage office support staff in the Departments of Neurology and Neurosurgery. Prepare and process all HR documentation, enter job postings via OneUSG, screen applicants, set-up and complete interviews, initiate hires and follow all HR processes through hiring and onboarding. Conduct annual staff reviews to meet institutional requirements and timelines, manage all disciplinary issues using AU HR guidelines and processes, develop an in-depth understanding of their roles, who they support, and what they do. Maintain equity in relation to pay and job duties, ensure staff are not assigned responsibilities above their paygrade. Serve as point person in emergency situations such as natural disasters or individual health situations while at work.

Coverage/Back-up
Serve as coverage and back-up for the Business Manager/Grant Manager and the Department Administrator as needed.

Other
Perform urgent functions as needed, assist with urgent reporting issues as requested, additional duties and roles as assigned. Remain flexible as processes change with AU/MCG and Wellstar and new responsibilities arise.

Required Qualifications

Bachelor's degree from an accredited college or university in Business Administration or related discipline with three years of administrative management experience.

Preferred Qualifications

Higher education.

Working knowledge of AU policies and procedures.

Complete understanding of the structure and guidelines related to National Institute of Health sponsored projects.

Additional years of experience in accounting or finance.

Knowledge, Skills, & Abilities

Ability to maintain confidentiality.

Leadership and presentation skills.

Extensive knowledge of PeopleSoft.

Excellent verbal and written communication.

Staff Management, training, feedback, coaching, conducting evaluations.

Knowledge of compliance and records management.

Excellent interpersonal, written and verbal communication skills.

Must demonstrate initiative, management and problem-solving skills.

Proficient in Microsoft Office and other computer software/databases.

Knowledge of general and financial budgetary principles and practices as well as fiscal administration.

Shift/Salary/Benefits

Shift: Days/M-F (work outside of normal business hours will likely be required of an employee in an exempt level position)

Pay Band: B13

Salary Range: $68,500/annually - $87,300/annually

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.
