Job Summary:

This position provides high-level professional support to the School of Medicine Dean's Office, serving the Senior Associate Dean (SAD) for Biomedical Research, the Senior Director for the Office of Research, and the Director for Space, Planning, and Facilities. The role operates with a high degree of independence, exercising sound judgment, critical thinking, and discretion while actively contributing to and occasionally leading projects on behalf of the Senior Associate Dean. The successful candidate must be comfortable learning and navigating new systems, adapting to changing priorities, and responding promptly to requests in a dynamic environment while ensuring alignment with CU and SOM policies and procedures.

This position is responsible for managing complex and dynamic executive calendars, coordinating travel logistics, and overseeing expense processes with accuracy and efficiency. Serving as a key point of contact, the role regularly interfaces with partners across the University of Colorado Anschutz Medical Campus, including the Chancellor's Office, School of Medicine leadership, academic departments, cores, centers, and institutes, as well as Facilities and Construction teams and affiliated hospital partners such as UCHealth (UCH) and Children's Hospital Colorado (CHCO).

Key Responsibilities:

Administrative Coordination (50%)
  • Provide high-level administrative support to the Senior Associate Dean (SAD) for Biomedical Research, Senior Director for the Office of Research, and Director for Planning and Facilities, including complex calendar management, meeting coordination, and prioritization of communications.
  • Exercise independent judgment and critical thinking to anticipate needs, resolve issues, manage competing priorities, and ensure timely and appropriate responses in a fast-paced environment.
  • Coordinate and support executive-level meetings by preparing agendas, compiling materials, recording minutes, and managing follow-up communications, including individual correspondence and campus-wide distributions.
  • Prepare and deliver weekly updates to leadership, summarizing project status, calendar changes, priorities, and potential conflicts.
  • Oversee domestic and international travel arrangements, including pre-approvals, bookings (via Concur), registrations, and expense reconciliation in compliance with CU Medicine, University, and SOM policies.
  • Serve as a professional representative of the Senior Associate Dean in all interactions (in-person, phone, and written communications).
  • Coordinate document routing for signatures, maintain records, and manage tracking systems and spreadsheets.
  • Act as backup to the Administrative Coordinator for the Senior Associate Dean for Clinical Research for leave coverage.


Project Management (30%)
  • Independently manage and coordinate Dean's funding committees (Bridge, SIRC, and AFL), including application processing, meeting logistics, decision documentation, grant utilization tracking, required follow-up surveys and reporting, and monitoring faculty eligibility for future funding opportunities.
  • Lead the coordination, planning, and execution of the annual Shared Resource Fair in partnership with the Office of the Vice Chancellor for Research (OVCR) and the Cancer Center
  • Maintain organized and accessible records, ensuring efficient document management and retrieval.
  • Accurately enter and update data across databases, spreadsheets, and internal systems.
  • Develop, document, and maintain business processes, standard operating procedures, and workflow guides for the Office of Research and Space, Planning, and Facilities functions. Identify opportunities for process improvement, recommend solutions, and implement changes that enhance efficiency, consistency, compliance, and continuity of operations.


Department Operations (20%)
  • Provide administrative support to both the Office of Research Biomedical team and the Space, Planning, and Facilities team.
  • Support procurement processes, including marketplace purchases, invoice processing, and expense report preparation in alignment with institutional guidelines.
  • Manage the preparation and submission of requisitions, purchase orders (POs), blanket purchase orders (BPOs), invoices, and Fund 35 forms, ensuring accuracy and compliance, with a high degree of autonomy
  • Maintain a professional, organized, and productive office environment.
  • Handle departmental communications, including incoming and outgoing emails, phone calls, and correspondence.
  • Maintain shared resources such as conference room reservations, team calendars, shared inboxes, and departmental records.

Work Location:

Hybrid - this role is eligible for a hybrid schedule of four (4) days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:
  • A bachelor's degree in business, business administration, education, social sciences, healthcare administration, public administration, communications, or a related field from an accredited institution.
    • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year-for-year basis.
  • Three (3) years of professional-level administrative support experience.


Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:
  • Experience providing administrative and technical assistance to faculty within higher education and/or medical education environments.
  • Data management experience, including tracking, compiling, and generating reports.
  • Experience managing travel.
  • Experience managing calendars.
  • Experience with creating meeting minutes and/or assisting with committees.
  • Experience working with UC software such as Marketplace, Concur, and PeopleSoft.
  • Experience in PowerPoint deck compilation and formatting.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as $70,859 to $90,132.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
